Archiving Events
Once an event is complete or no longer active, you can archive it to keep your event list organised. Archiving moves events out of your main view while preserving all their data. This guide explains how archiving works.
What Is Archiving?
Archiving is a way to “put away” events you no longer need to actively manage. Archived events:
Are removed from your main My Events list
Can still be viewed in the Archived Events section
Retain all their data (attendees, messages, RSVPs)
Can be unarchived if needed
Think of it like filing away completed paperwork - it’s not on your desk anymore, but you can still access it when needed.
When to Archive an Event
Consider archiving an event when:
The event has taken place
All guests have RSVP’d and you’ve sent thank you messages
You no longer need to manage the event actively
You want to reduce clutter in your events list
How to Archive an Event
From the Events List
Go to My Events in the sidebar
Find the event you want to archive
Click the actions menu (three dots or similar) on the event row
Select Archive from the dropdown
Confirm the action if prompted
From the Event Page
Open the event you want to archive
Look for an Archive action in the page header or actions menu
Click Archive
Confirm the action if prompted
Viewing Archived Events
To see your archived events:
Go to My Events in the sidebar
Click on Archived Events (listed below My Events in the navigation)
This shows all events you’ve previously archived. From here you can:
View event details
See RSVP history
Review messages that were sent
Unarchive events if needed
Unarchiving an Event
If you need to bring an event back to your active list:
Go to Archived Events
Find the event you want to restore
Click the actions menu on the event row
Select Unarchive or Restore
The event will return to your main My Events list with all its data intact.
What Happens to Archived Event Data
When you archive an event, nothing is deleted:

Archiving is purely organizational - it doesn’t affect the underlying data.
Can Guests Still Access Archived Events?
This depends on the event’s status when archived:
Published events - Guest invitation links may still work, allowing them to view (but possibly not interact with) the invitation
Draft events - Links were never active
If you want to completely prevent access, consider changing the event status to “Cancelled” before archiving.
Archiving vs. Deleting
Dear focuses on archiving rather than deleting because:
Historical record - You may want to reference past events
Attendee data - The same guests might be invited to future events
Message history - Useful for future event planning
If you truly need to remove event data for privacy reasons, contact support.

If you manage many events, archiving helps you stay organized:

Archive promptly - After an event concludes and you’ve sent thank you messages, archive it
Use clear names - Descriptive event names make it easier to find archived events later
Regular cleanup - Periodically review your events list and archive completed ones
Finding Old Events
When you need to reference a past event:
Go to Archived Events
Use search if available
Browse by date or name
Open the event to see its full history
Best Practices
Wait until truly complete - Don’t archive until all post-event activities are done (thank you messages, final communications)
Archive, don’t delete - Keep your event history for reference
Stay organized - Regular archiving keeps your active list focused on current events
Check before major actions - If you’re about to send messages, make sure you’re not working with an archived event
